POSITION OVERVIEW AND PRIMARY DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

Afognak Native Corporation has an opportunity for a Shareholder Services Executive Assistant. This positionserves as the liaison between the Port Lions-based Shareholders and community with Afognak Native Corporation (ANC) Shareholder Services, provides support to the department, including coordinate the delivery of Afognak's Shareholder and Trust Beneficiary programs and services; support on the maintenance of accurate Shareholder and program electronic and hard copy records; and support regarding Shareholder communications, outreaches, and engagements. This position requires working in a team environment and working independently.

  • Serves as liaison for Shareholder Services and ANC.
    • Serves as liaison between Shareholder Services and Port Lions Community, including fostering strong community partnerships and engagement to facilitate outreach events.
    • Coordinate with the preparation of land permit requests.
  • Coordinate the delivery of high-quality services to Shareholders and Beneficiaries.
    • Serves as the primary point of contact for Shareholder Services, fields calls and emails, and forwards to appropriate Shareholder Services team members when necessary.
    • Maintain Shareholder Services calendars to include internal processes and outreach events.
    • Coordinate pro rata Beneficiary and Elder Benefit distributions processes as needed.
    • Support the development of and monitoring of reports and surveys to evaluate program and system effectiveness to ensure objectives are achieved on schedule.
    • Ensure Shareholder Benefits policies and procedures are followed to promote equitable Shareholder access to resources and services.
    • Support achievement of Shareholder Benefits objectives and targets set by leadership.
    • Support the delivery of high-quality programs within the Education Scholarships, Youth Career Development (YEP), Adult Career Development (CEP), Higher Education (HEP) to achieve program objectives in a timely manner and within budget.
    • Maintain letter, memo and email templates for internal and external departmental use.
    • Manage invoicing and credit card expenses timely and monitor expenditures within budget limits.
    • Draft and coordinate routine correspondence to Shareholders regarding stock transfers, custodianship, income verifications, and other benefit programs.
    • Prepare and maintain monthly and quarterly reports regarding Shareholders, stock transfers, engagement, and benefit programs, along with annual Shareholder benefits report.
    • Support Shareholder Development Advisory team with goals and objectives.
  • Assist with maintaining accurate and current Shareholder electronic database and hardcopy records.
    • Support maintaining accurate and current Shareholder electronic database and hardcopy records including: share ownership, transfers, gifting, addresses, withholding/taxation documentation, wills, and other pertinent legal documents.
    • Assist Shareholders in completing and updating Afognak Native Corporation forms related to processing estates and Shareholder stock transfers, such as: Testamentary Disposition Form (TDF), Gift of Stock, change of address, etc.
    • Assist with internal audits of records, shareholder information, TDFs, benefits, etc.
    • Manage and maintain portal registrations.
    • Create and maintain monthly reports related to shareholder demographics and stock information.
  • Support Shareholder communication, outreach and engagement efforts.
    • Draft, review and send regular Shareholder communications via newsletter, mail, email, portal and social media.
    • Coordinate logistical support for Shareholder events and gatherings in Port Lions, including door prizes and giveaways, facilitate sign-in, etc.
    • Assist with Shareholder connections to the Alutiiq culture and traditional ways of life.
  • Ensure compliance with corporate procedures and guidelines.
  • Adhere to the Alutiiq values of harmony, mutual respect, efficiency, full disclosure, and respect for Elder knowledge, culture and heritage enshrined in ANC Policies.
  • Perform other duties as assigned.

Pay rate:$22.34 to $33.93 Hourly

REQUIRED QUALIFICATIONS AND EXPERIENCE:
  • Associate Degree or Five years related work experience including customer service in a related field.
  • Proficient with widely used computer equipment and programs, such as: MSWord, Excel, PowerPoint, Outlook, SharePoint, Adobe Professional, and the Internet.
  • Must be able to operate office machines, including a computer, copier, and fax.
  • Experience with Shareholder/customer databases like Microsoft Dynamics 365 CRM is preferred.
  • Experience with Shareholder/customer databases is a plus.
  • Experience providing logistical support for meetings and events.
  • Experience working with board members and Shareholders alike.
  • Independent, able to focus on projects with little or no supervision, self-motivated, and able to speak to students and Elders with ease.
  • Able to multitask and prioritize work with a strong attention to detail and problem solve while exercising good judgment.
  • Strong time-management and organizational skills.
  • Able to compose business correspondence and create visual presentations.
  • Excellent written and verbal skills needed as this position communicates via phone and e-mail with Shareholders, vendors, employees, and managers.
  • Strong analytic, organizational, and networking skills.
  • Able to integrate easily, work well in a team environment, and work with minimal supervision.
  • Excellent interpersonal skills and judgment, with ability to apply tact and diplomacy in all situations.
  • Positive attitude and excellent communication skills both written and oral, including telephone etiquette.
  • Able to travel utilizing many different forms of transportation and some evening/weekend work required.
  • Certified Notary Public or ability to obtain status within 30 days of employment.
  • Strong interest in the successful development of Afognak Native Corporation Shareholders.
  • Working knowledge of the Alaska Native Claims Settlement Act and Alaska Native Corporations.
  • Able to thrive in a fast-paced environment with the desire to utilize time management skills at less busy times.
  • High degree of sensitivity regarding confidential information.
